Responsibilities:Reception and Communication:Greet parents, children, and visitors warmly and professionally.Manage incoming calls, emails, and inquiries, providing accurate and helpful information.Maintain a professional and friendly demeanor while addressing parents' concerns or queries.Enrollment and Registration:Assist with the enrollment process for new children, ensuring all required documentation is completed.Collect and maintain enrollment records, including medical information, emergency contacts, and consent forms.Update and manage the database of enrolled children and their schedules.Billing and Payments:Prepare and process invoices for daycare services provided to parents and guardians.Record and track payments, ensuring accounts are up-to-date and accurate.Address billing inquiries and coordinate with parents to resolve payment-related issues.Attendance and Scheduling:Maintain accurate attendance records for children attending the daycare.Assist in creating and updating daily schedules and activity plans for various age groups.Coordinate with staff to ensure proper supervision and coverage of children during operational hours.Records Management:Organize and maintain administrative files, including enrollment forms, medical records, and staff documentation.Ensure compliance with privacy and confidentiality regulations in handling sensitive information.Communication and Collaboration:Liaise with daycare staff to convey important information, such as schedule changes or special events.Collaborate with the daycare management team to improve administrative processes and overall daycare efficiency.Safety and Compliance:Follow and enforce safety protocols and emergency procedures in the daycare facility.Assist in maintaining compliance with local licensing regulations and other applicable laws.General Administrative Support:Assist with general office tasks, including photocopying, filing, and organizing supplies.Help with special projects or events as assigned by the daycare management team.
Requirements:
High school diploma or equivalent (additional education or certification in early childhood education is a plus).1-2 years experience as an administrative assistant, secretary or receptionist preferred. Previous experience working in a daycare or childcare setting is a plus.Strong organizational, communication, and time-management, and multitasking skills.Proven ability to work in a fast-paced environment.Positive, high-energy attitude.Familiarity with office equipment (i.e. printers, fax machines, projectors)Proficiency in Microsoft Office (especially MS Excel and PowerPoint)Proficiency in basic computer applications and record-keeping software.Bilingual: Chinese - English.Ability to work collaboratively as part of a team.
