Overview:
The Import/Export Operator is responsible for managing all aspects of international freight logistics, ensuring efficient, compliant, and cost-effective handling of shipments. This position requires a strong understanding of international shipping regulations, excellent communication skills, and the ability to build and maintain strong relationships with both clients and service providers.
Key Responsibilities:
1. Rate Inquiries and Cost Negotiation
Inquire and compare rates from multiple shipping lines, airlines, and other service providers (such as trucking and customs brokers) to obtain the most competitive pricing.Evaluate quotes based on various factors (service quality, transit times, routing, etc.) to choose the best option for both import and export shipments.Negotiate contracts and spot rates when necessary to optimize costs while maintaining high service levels.
2. Customer and Agent Communication
Provide timely responses to all inquiries from customers and overseas agents, ensuring clarity and accuracy in communication.Collaborate with customers to understand their specific shipment requirements and offer tailored solutions.Proactively update clients regarding the status of their shipments, any delays, or required documents.
3. Shipment Coordination and Documentation
Coordinate the full cycle of shipment handling, from booking space on vessels or aircraft to arranging pickups and deliveries.Prepare required shipping documentation, including House Bill of Lading (HBL), Master Bill of Lading (MBL) drafts, manifests, insurance documents, and invoices.Oversee customs declaration processes, ensuring all necessary paperwork is submitted in compliance with customs regulations and guidelines.Ensure accuracy in data entry, input costs, and shipping details into the company’s system for tracking and accounting purposes.
4. Performance and Compliance Standards
Ensure high service levels are maintained to meet or exceed customer performance expectations (e.g., timely responses, tracking updates, proactive issue resolution).Adhere to all compliance standards, including internal policies, international shipping regulations, and customer-specific requirements.Stay informed about regulatory changes (customs procedures, import/export laws, documentation requirements) and ensure the company remains in full compliance.
5. Relationship Management
Build and maintain strong relationships with shipping lines, airlines, trucking companies, customs brokers, and other service providers to ensure smooth handling of shipments.Act as the primary point of contact for service providers, ensuring any service issues or disputes are resolved quickly and efficiently.
6. Financial Responsibilities
Prepare and submit invoices to customers, ensuring timely billing and payment.Monitor and ensure timely settlement of accounts receivable and payable with both customers and service providers.Coordinate with the finance team to resolve any billing discrepancies or payment delays.
7. Problem Solving & Issue Resolution
Proactively address and resolve operational issues, such as delays, damaged goods, customs holds, or service interruptions.Work with service providers and customers to implement contingency plans in the event of unforeseen challenges.
8. General Administrative and Other Duties
Maintain accurate records of all shipments, costs, and communications for auditing and future reference.Report on KPIs (Key Performance Indicators) such as on-time delivery, cost per shipment, and customer satisfaction metrics.Complete any additional tasks as assigned by the Manager, which may include internal projects or training initiatives to enhance operational efficiency.
Required Skills and Qualifications:
Experience in logistics, freight forwarding, or supply chain operations, with a focus on import/export shipments.Strong understanding of shipping documentation, customs processes, and international trade regulations.Excellent communication skills for working with clients, service providers, and internal teams.Ability to multitask and handle several shipments simultaneously while meeting deadlines.Problem-solving mindset, capable of handling operational challenges with minimal supervision.Detail-oriented with a focus on accuracy in documentation and data entry.Proficient in logistics software and tools for tracking, billing, and reporting purposes.
Preferred Qualifications:
Bachelor's degree in logistics, supply chain, or a related field.Knowledge of international trade agreements (e.g., Incoterms, customs codes).Experience working in a fast-paced, global environment.Proficiency in a second language (depending on client geography) is a plus.
